Job Title: Receptionist
Reports to: Volunteer Manager
Hours: 40 per pay period
Shifts are 8am to 12;15pm and 12;15pm to 4:30pm, Monday through Friday.
Ability to work full days when one receptionist is off is essential.
General Description
Summary
The receptionist works on the opposite schedule of his or her counterpart. The receptionists are responsible for coordinating their PTO requests and assisting with coverage when one receptionist is taking scheduled PTO. The ability to work more than forty hours per pay period and 8-hour shifts on occasion is essential. The receptionist performs clerical and frontline customer relations work, with primary responsibility for courteous and efficient facilitation of telephone calls and greeting visitors. Expedites the steady and courteous flow of internal and external communications, such as incoming/outgoing telephone messages, visitors, messengers and delivery services.

While performing the duties of this job, the employee is frequently required to sit for long periods of time; talk or hear; and use hands to handle, or touch objects or controls, and keyboard. On occasion the incumbent may be required to stoop, bend or reach above the shoulders. The employee may occasionally lift up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Work Environment
Work is performed in a typical office setting with no known significant hazards. In the course of working with a wide range of people, the receptionist may encounter abusive, aggressive, or unpredictable behavior on a limited basis.
ESSENTIAL DUTIES AND RESPONSIBILITES
- Greets and directs visitors in a professional, friendly, and welcoming manner.
- Answers switchboard and directs callers to the appropriate staff. Will transfer a call to the staff member’s voice mailbox or cellular phone (if at work but away from their desk) when the staff member is not available. Adept at using all features of the telephone system and voice mail.
- Ensure visitors to the administrative office have name badges and appropriate escorts.
- Performs various administrative and data entry functions such as, verifying visits, batch postings, typing, copying, filing.
- Provides answers to routine inquiries and other information as appropriate.
- Follow Hospice Alliance established policies and guidelines.
- Completes assigned training in a timely manner.
- Attends meetings as scheduled and prearranges absences from meetings with the direct manager when unable to attend.
- Other duties as assigned.
EDUCATION AND/OR EXPERIENCE/LICENSING REQUIREMENTS
- High school diploma, general equivalency diploma (GED) or equivalent combination of education and experience.
- Experience using a computer and knowledge of Microsoft Office products.
- Experience using a multi-line phone system.
- Ability to read and comprehend simple instructions, short correspondence and memos.
- Ability to perform basic math functions of addition, subtraction, multiplication and division.
- Ability to work with a wide range of personalities in a courteous, effective and efficient manner.
